Decide which ensemble member would be good with the detail-intensive task of organizing travel arrangements. Whether you choose to use a travel agent, or do it yourself online, it can be a formidable job. Coordinating everyone's schedule with the demands of performance, then communicating to all ensures smooth travel and healthy, relaxed performances.
We all have different preferences for travel arrangements, so its important to poll your colleagues. Are people comfortable with flying? Do they prefer the train when possible? Who is a good driver? (Who would they refuse to let drive?) What kind of housing is considered acceptable? (Early in our career, there were times where the four of us slept in one room with only two beds and 1000's of entomological, non-paying guests. Eventually we agreed to each have our own room. Members of the great Guarneri String Quartet would not even stay on the same floor of a hotel.)
Where possible, we tried to arrive at a touring concert venue a day before the performance as a hedge against bad weather, and in hopes of avoiding a sleep-deprived presentation.
